I'm on a fly fishing forum that has regional gatherings each year in about 6 locations from Seattle to Key West. I have attended two of them in Grayling Michigan, and just had a ball fishing and eating and drinking and lying (important part of fishing) with people I had met on the forum. Each year this one is the week of July 4th, +/- a few days.
The planning process takes the better part of a year, and starts with an agreed upon location and dates. This way people who must give advanced notice to take their vacations can plan accordingly. Then there are myriad activities and decisions that need to be addresses to insure that all goes smoothly. The planners have found that by developing a committee, that the process goes smoother and responsibilities are shared.
The past two years have seen participants travel to the "
Michigan Fish-In" from 8 states and Canada, and I believe we had a whisker over 35 people in attendance in 2008, which is actually a good crowd for events like this. Because it's a week-long event, people come and go throughout the week based on their schedules, but the important part is that they come to share their passion for fishing and teh outdoors.
People of like interests gather all over this country all the time, and it doesn't need to be fancy and it doesn't need to be expensive. Our
Fish-Ins are a prime example. These events are always planned where there is ready access to lodging as well as camping, to accommodate everyone's wallets. The venue should also have a covered or enclosed meeting area accessible to the group in case of bad weather. I can afford to stay in the lodge, but they won't let me setup my camp kitchen outside because they have a restaurant (health dept issues), so I setup at one of the local campgrounds.
If you guys are serious about a meet & greet, someone needs to take the helm and steer the ship. It's a lot of work, but it's also rewarding when everyone gets to meet face to face.
Breakfast in the campground...there's something special about outdoor cooking.

And there's something spiritual about a Michigan trout stream...
